Quotera (“we”, “us”, “our”) is a client document and payment record management product for Indian service businesses. This Privacy Policy explains what information we collect, how we use it, and the choices you have when you use quotera.in and the Quotera web application.

1. Who this policy applies to

This policy applies to visitors of our website, applicants for early access, and registered users who create an organization workspace in Quotera.

Quotera is built for business owners and teams who manage clients, quotations, tax invoices, and payment records. It is not accounting software and not a payment gateway.

2. Information we collect

We collect information in the following ways:

  • Account information: name, email address, and login credentials associated with your account.
  • Early access applications: name, phone number, email, business type, and optional details you submit on our form.
  • Organization and business profile: company name, address, GSTIN, bank details, logo, document branding settings, and other fields you enter in Settings.
  • Client data: client names, contact details, billing addresses, GSTIN, and related notes you store in Quotera.
  • Document data: quotations, invoices, line items, tax settings, notes, terms, PDFs generated from your content, and document status.
  • Payment records: amounts, dates, and payment status you manually record against invoices. Quotera does not process card, UPI, or bank payments on your behalf.
  • Usage and technical data: basic logs needed to operate the service, such as IP address, browser type, device information, and error diagnostics.

3. How we use your information

We use collected information to:

  • Provide and maintain the Quotera product, including dashboards, document previews, and PDF generation.
  • Authenticate users and keep each organization’s data isolated.
  • Review early access applications and contact you about onboarding.
  • Respond to support requests and improve product reliability.
  • Send service-related messages, such as account or security notices.
  • Comply with applicable law and enforce our Terms of Service.

4. How we store and protect data

Quotera is hosted on modern cloud infrastructure. Application data is stored in our database with access controls so users in one organization cannot access another organization’s records.

We use industry-standard safeguards such as encrypted connections (HTTPS), access controls, and authenticated sessions. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

5. Sharing of information

We do not sell your personal information. We share data only when necessary to run Quotera, comply with law, or with your direction.

  • Infrastructure providers that host authentication, database, and application services.
  • When you share a document link or PDF with a client via WhatsApp, email, or another channel you choose.
  • When required by law, regulation, legal process, or to protect rights, safety, and security.
  • In connection with a merger, acquisition, or sale of assets, with notice where required.

6. Data retention

We retain your information for as long as your account is active or as needed to provide the service. If you request account deletion, we will delete or anonymize personal data within a reasonable period, except where retention is required for legal, security, or backup purposes.

7. Your choices and rights

Depending on applicable law, you may request access to, correction of, or deletion of personal information associated with your account. You can update most business and client data directly inside Quotera.

8. Cookies and similar technologies

We use essential cookies and local storage needed for sign-in sessions and core app functionality. We do not use advertising cookies on the product.

9. Children’s privacy

Quotera is intended for business use and is not directed to children under 18. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date on this page. Continued use of Quotera after changes become effective means you accept the revised policy.
